We are actively looking to hire an experienced, hard-working, and enthusiastic Sales Coordinator. The Sales Coordinator’s primary responsibilities will be to support communication and scheduling between production and sales teams, manage inbound phone calls, and collect / organize customer information. Additional responsibilities include marketing administrative duties such as paying referring parties, placing office and marketing supply orders, breakfast orders, and other tasks to support the sales team. This is a great opportunity for a motivated individual with strong organizational skills interested in working in a small business environment within the restoration industry.

Job Position Description:

Perform all office administrative tasks related to job, tracking and scheduling of jobs, management of job software, and monitoring of job tasks and requirements. Working with Customers, third party administrators, Project Managers, Operations Managers and Team Leader to ensure tasks are communicated and completed in a timely and accurate manner. Customer satisfaction is maintained at a high level. All files and reports are maintained and provided as required. Ensuring all job-related tasks are completed as assigned. The Project coordinator serves as a professional representative of Pro-Craft Restoration playing a critical role in delivering projects consistent with service and customer expectations while maintaining a safe work environment. The Sales Coordinator takes pride in going above and beyond customer expectations in their times of need by providing a world class level of service which sets up apart from our competitors in the industry.

Responsibilities:

General administration

  • Answer inbound calls and communicate customer needs to correct departments
  • Make outbound calls regarding referrals
  • Submit ‘lost sale reports’ for all jobs not scheduled / won
  • Coordinate and own key steps in job intake and execution
  • Dispatch teams and ensure timely appointment arrival using vehicle tracking software
  • Create and update customer files in project management software
  • Manage signature gathering process with customers and other parties
  • Perform basic client communication, including appointment reminders
  • Audit daily job files / appointments to ensure completion of proper tasks / steps throughout job lifecycle

Sales administration

  • Manage referral fee disbursement and tracking process for key service partners
  • Create ‘snack boxes’ and ‘WOW boxes’ for partners and referring parties
  • Source and organize W9s and other documentation from key service partners
  • Own weekly catering, snack box, and marketing supply order process

Skills required

  • Organized & can manage workload / prioritize independently
  • A team player with a willingness to jump in and help out to accomplish company goals
  • Great communication skills and comfort speaking with customers
  • Ability to overcome challenges and obstacles via problem solving
  • Professional dress code and demeanor
  • Strong attention to detail and work ethic
  • MS proficiency preferred
  • Ability to multitask

Requirements

  • Driver License and clean driving record
  • GED or equivalent
